Job Description

An employer in the Pharmaceutical industry is looking for a Junior Safety Admin (temp) to join their Safety and Pharmacovigilance team. Responsibilities will include general administrative support primarily focused on helping plan for department interviews. Our ideal candidate has exceptional attention to detail with a high level of accuracy, a strong work ethic, is proactive and customer-service oriented. Proficiency knowledge of Microsoft Office is required (e.g., Word, Excel, Power Point, MS Teams, Outlook).

Some responsibilities of the Junior Safety Admin (temp) will include but are not limited to:
- Position is based in Carlsbad and interacts with employees remote and hybrid in support of the department
- Manage Department and Team Calendars using Outlook
- Manage all aspects of travel for candidates using Concur (e.g., flight, hotel arrangements, transportation, etc.)
- Manages all logistics for department interviews (e.g., space, people contact lists, travel plans, meals, etc.)
- Help prepare all candidate interview information (e.g., room blocks, agendas, group lunches, etc.)
- Manage and maintain confidential/sensitive matters

LOCATION:
- HYBRID SCHEDULE - 2 days remote, 3 days onsite. This person will be able to choose which days are remote/onsite
- This person will likely train onsite 5 days per week in Carlsbad, CA

SCHEDULE:
- Monday - Friday
- 8am - 5pm PT (some flexibility)

Required Skills & Experience

- Candidate sits locally and is willing to work onsite in Carlsbad, CA (north of San Diego) at least 3 days per week
- Professional experience supporting a department in an administrative type role
- Professional experience managing calendars through Outlook (ideal experience: booking travel, meetings, conference rooms, etc.)
- Tech savviness and proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience creating agendas within a professional setting

Nice to Have Skills & Experience

- Concur experience for expenses and travel booking
- Professional experience coming from a mid to large size company with a matrixed reporting structure (biotech background is a plus)
- Experience with Smartsheet - reporting and inputting spreadsheets
- BS degree in a related field
- Working knowledge of Coupa (invoicing) and/or Conga (contracts) software
- Experience coming from the biotech / pharmaceutical space
