Job Description

An employer is looking for an administrative assistant who can perform the following:

Performs basic clerical, administrative and general office activities to support the facilitation of administrative workflow within the department by tracking, maintaining, and following up on various tasks and requirements, and also participates in a full range of office activities including customer/client service, purchasing, accounting, accounts payable, etc.



* Provides general information to internal or external clients or customers, ensures friendly and professional phone and front office coverages, and routes inquiries to other departments in the organization as appropriate as well as coordinates mailings.

* Calendars appointments, conference rooms and organizes travel arrangements for an individual, group or department.

* Formats and types correspondence, documents, memos, reports, meeting minutes and/or presentations materials.

* Scans or makes copies of correspondence or other printed materials and compiles basic reports.

* Replenishes and orders office and breakroom supplies, correct ordering of IT equipment needs of the department, and arrange for equipment and suite maintenance.

* Assists with processing of invoice payments including its tracking.

* May assist leadership with scheduling meetings when needed.

Required Skills & Experience

-2+ years experience in a high-end customer service role

-Heavy office administration experience

-Proficient with Computers (MS Outlook, MS Word and Excel, basic math and accounting, basic email composition/business writing)

-Excellent Customer Service/front desk experience (Phone etiquette and triaging, office inventory management, etc.)

-Must be fluent in another language (Preferably Arabic, Spanish, or Chinese)

Nice to Have Skills & Experience

-Experience in high end Hotels/Resorts or Spas

-Experience in Healthcare

-Experience working with VIP clients
