Operate as the secondary dispatch contact, this includes interfacing with our clients and technicians over phone and email.
Provide service and field tech support.
Complete service call billing on a regular weekly schedule
Scan and email invoices to customers.
Review and respond to emails from customers about their invoices.
Track and obtain purchase orders from our clients for services provided.
Interface with other members on the team to request support as needed.
Review Smartsheet submissions for job number requests.
Using Wennsoft to generate job numbers for Project Managers approved quotes.
Verify billing information provided is accurate. If not, research and correct as needed
Upload all documents, quotes, approval emails, subcontracts, PO's, etc. to jobs.
Have new customer set up forms completed to authorize setting up new accounts.
Set up new customers billing and job site details into Wennsoft.
Must be comfortable going onsite 5 days a week for this role
2+ years data entry administrative duties - any admistration experience for an HVAC, Construction, Plumbing or Subcontracting industry is a plus
Previous or current experience with billing or dispatching is a plus
Experience working and communicating with internal teams and external customers and vendors
Strong attention to detail and experience with internal databases
