A prominent research institute in San Diego, CA is looking for a grants administrator to join their team temporarily. This person will be responsible for providing professional-level administrative expertise in the pre-award reviewing of moderately complex contract and grant proposals and the post-award reviewing of routine contracts and grants administration and reporting. 80-90% of their time will be spent on post-award administration. Other duties include:
· Assists with the monitoring of expenditures to ensure compliance with agency and departmental guidelines, availability of funds, appropriateness of expenditure and indirect cost charges, and verification of appropriate indirect cost allocation methods; updating internal reference documents as needed;
· Assists with the adding/updating/closing of accounts in the financial accounting system and electronic procurement system, reviews grant expiration dates to ensure financial viability, updates internal financial documents and spreadsheets and research and resolve all discrepancies;
· Prepares subaward, inter-institutional, and other grant-related agreements as requested and coordinates signatures for final agreements upon management approval
· Assists in the preparation of financial reports of expenditures for each budget cycle
· Prepares monthly grant accounts receivable invoices, enters invoices into the financial accounting system and process invoices for payment upon approval
· Updates financial spreadsheets to reconcile total expenditures with amount awarded utilizing data from financial accounting system and NIH award documents
· Assists with the preparation of final reports as mandated by agency guidelines
· May prepare specialized reports and forecasts as requested.
- 3+ years of experience with grants administration, preferably working with NIH grants
- Proficient in excel
- Experience with entering journal entries into a general ledger
- Bachelor's degree in accounting, finance, or business administration
