Job Description

Position Summary

The Site Services Lead is responsible for the day-to-day management, coordination, and execution of non-production site services supporting a manufacturing facility. This role ensures employees, contractors, visitors, and operational teams have the workplace support, office services, site amenities, and administrative infrastructure required to operate efficiently and safely.

Working under the direction of the Operations Manager – Facilities, the Site Services Lead serves as the operational owner for workplace services, site access coordination, shared spaces, employee support services, office readiness, vendor-managed services, and general site operations support.

The Site Services Lead partners closely with Manufacturing, Warehouse, Maintenance, Training, Safety Operations, Security, Human Resources, and Facility leadership to ensure site support functions remain responsive to business needs during workforce mobilization, Assembly launch, Fabrication expansion, and long-term operations.

This position plays a key role in creating a professional, organized, and scalable workplace environment capable of supporting rapid workforce growth while maintaining a positive employee and visitor experience.



Key Responsibilities

Site Services Operations Management

Lead day-to-day execution of site services operations across the facility.

Oversee activities including:

Workplace services

Office operations

Shared space management

Visitor support

Site access support

Reception activities

Mail and package services

Conference room management

Employee support services

Ensure operational support activities align with business requirements and workforce growth plans.



Workplace Readiness & Occupancy Management

Support facility occupancy and workplace readiness initiatives.

Coordinate:

Office space readiness

Temporary office and trailer support

Workspace assignments

Seating coordination

Office equipment deployment

Furniture requests

Conference room readiness

Shared space utilization

Partner with Facilities and Program Leadership to support workforce ramp activities.



Site Access & Visitor Management

Manage site access administration and visitor coordination activities.

Support:

Visitor registration processes

Site access requests

Badge coordination

Guest management procedures

Conference and meeting logistics

Contractor check-in support

Site orientation support

Ensure visitors and contractors experience efficient and professional site entry processes.



Employee Support Services

Provide oversight of employee-facing support services across the site.

Support services including:

Employee resource coordination

Workplace support requests

Site communications

Facility information services

Common area support

Administrative coordination

Ensure employees have access to the resources required to perform their duties effectively.



Vendor & Service Provider Coordination

Serve as the primary operational contact for site services-related vendors.

Coordinate:

Janitorial services

Office supply providers

Coffee and breakroom services

Waste management providers

Workplace service vendors

Event support vendors

Administrative service providers

Monitor service quality and ensure vendor activities meet established expectations.



Shared Space & Conference Management

Manage usage and readiness of shared facility resources.

Support:

Conference rooms

Training rooms

Collaboration spaces

Visitor meeting areas

Common break areas

Executive briefing spaces

Coordinate scheduling, readiness, and support requirements for internal and external meetings.



Administrative Operations Support

Provide operational support for site administrative functions.

Coordinate:

Office procedures

Site directories

Contact rosters

Administrative workflows

Resource request processes

Workplace communications

Support continuous improvement of administrative and support processes.



Event & Meeting Support

Coordinate logistics for site meetings, customer visits, leadership reviews, and workforce events.

Support:

Executive visits

Client meetings

Workforce town halls

Hiring events

Training events

Operational reviews

Program governance activities

Ensure events are planned and executed professionally and efficiently.



Reporting & Service Performance Management

Develop and manage site services reporting activities.

Monitor:

Workplace service requests

Visitor metrics

Conference room utilization

Vendor performance

Workspace occupancy

Employee support trends

Service response times

Provide regular reporting to Facilities leadership and Program Management.



Cross-Functional Operational Integration

Partner closely with:

Facilities Operations

Manufacturing Operations

Warehouse Operations

Maintenance Operations

Training Organization

Safety Operations

Human Resources

Security

Program Management

Ensure site support functions remain aligned with broader operational objectives.



Issue Management & Escalation

Manage site service issues through successful resolution.

Coordinate:

Workplace concerns

Space utilization issues

Visitor management challenges

Vendor performance concerns

Administrative support issues

Site readiness gaps

Maintain visibility into open issues and drive timely corrective actions.



Continuous Improvement

Identify opportunities to improve:

Employee experience

Visitor experience

Administrative efficiency

Vendor performance

Workplace utilization

Service delivery effectiveness

Support implementation of process improvements and operational best practices.



Phase 1 & Phase 2 Responsibilities

Phase 1 – Site Mobilization & Stand-Up

Support development of:

Site services operating model

Occupancy strategy

Temporary office and trailer support plans

Visitor management procedures

Support service vendor strategy

Administrative workflows

Workplace readiness plans

Establish site support capabilities before workforce ramp begins.



Phase 2 – Workforce Ramp & Operational Launch

Activate:

Site services operations

Visitor management programs

Workplace support functions

Vendor management activities

Occupancy management processes

Employee support services

Provide hands-on leadership during workforce onboarding and operational startup.



Long-Term Operational Support

As operations mature:

Expand service capabilities

Improve employee experience

Increase support automation

Refine workplace utilization processes

Enhance vendor management programs

Ensure site services remain scalable and responsive to organizational growth.



Governance & Documentation

Maintain and support:

Site services procedures

Visitor management procedures

Occupancy plans

Vendor management records

Service request workflows

Workplace standards

Administrative process documentation

Reporting definitions

Participate in governance reviews, audits, and operational assessments.

Required Skills & Experience

Required Qualifications

5–8+ years of experience in workplace services, facilities support, office operations, corporate services, hospitality management, or site administration

Experience supporting manufacturing, industrial, corporate, data center, or large operational environments

Strong understanding of:
