Job Description
Greets visitors / Answers phone calls
• Administrator for time tracking system ( SmartBarrel, etc)
• Coordinate with Staffing Agencies for timecard approvals, recruitment and on-boarding
• Manage administrative access to project software tools (Procore, Facility Grid, etc)
• Maintains various project and company trackers (Project Log, Procurement, Staff List, etc)
• Office / Site Trailer appearance maintenance
• Handles and prepares outgoing and incoming mail
• Ships and receives packages
• Processes correspondence, letters, forms, reports and various documents
• Assists in project-specific employee on-boarding
• Maintains various filing systems
• Maintains office service log
• Maintains office supplies
• Issues and returns equipment for new hires/terminated employees (iPads, access cards, cell phones, laptops, etc.)
• Ensures latest posters are displayed
• Assists with Tool Tracking (PIC’s keys, gas monitors, etc.)
• Assists with Tool Calibration
• Organizes travel arrangements (hotels, flights)
• Assists with expense reports
• Issues drug screens for required random testing
• Orders project-specific clothing
• Issues purchase orders for material and subcontract labor
• Keeps customers and vendors informed of changes and status updates
• Organizes warehouse and tracking material received
• Helps resolve billing issues
• Prints and binds necessary files
• Assists with office maintenance and fleet/truck issues
• Helps IT resolve issues with any/all technology tickets
• Creates Service Reports in Excel
• Runs labor reports from HH2
• Tracks Purchase Orders

Required Skills & Experience
2 + years of Admin Experience
High School Diploma
