Job Description
Insight Global is currently seeking an Executive Administrator to provide executive‑level administrative and logistical support for meetings, events, and internal experiences. This role is responsible for end‑to‑end coordination including calendar management, scheduling, room bookings, preparation of polished presentation and meeting materials, budgeting support, and accurate expense and purchase order processing. The Coordinator manages event logistics such as catering, equipment, supplies, signage, registration, and attendee communications; supports event set‑up, tear‑down, and on‑site execution; maintains detailed checklists, timelines, and documentation; and serves as a point of contact to resolve issues efficiently as they arise. The successful candidate will prepare and process expenses, maintain organized records for vendor information and event documentation. With a strong focus on accuracy, efficiency, and follow‑through, this role delivers a high‑touch, professional experience for executives, employees, and external guests in a fast‑paced environment.
The position is well suited for someone who enjoys working behind the scenes, thrives in a fast-paced environment, and takes pride in delivering well-organized, welcoming, and professional experiences for internal and external stakeholders. This is a hybrid contract position with the expectation to work between 30-40 hours per week based out of Calgary.

Required Skills & Experience
• 4+ years of experience in an administrative, executive assistant, or coordinator role
• Experience with expense management, or accounting related activities
• Exceptional attention to detail, accuracy, and efficiency with the ability to execute tasks correctly the first time
• Strong organizational and time‑management skills, able to manage multiple priorities and deadlines
• Highly proficient in MS Outlook, Word, and Excel; strong presentation and document‑preparation skills required
Nice to Have Skills & Experience
• Event planning or hospitality experience is a strong asset
• Experience with SAP
• Professional, service‑oriented demeanor with confidence supporting senior leaders
Ability to learn new systems quickly and adapt in a dynamic, fast‑paced environment
