Job Description

Insight Global is seeking a highly organized and detail-oriented Logistics Administrator to support a mid-sized Oil and Gas company on their rail logistics operations during a transition. This role is responsible for managing shipment documentation, ensuring data accuracy across systems, supporting reporting, and coordinating with internal stakeholders and terminals across North America.

Reporting & Analysis
•Prepare and distribute recurring logistics reports, including:
o Long Transit Report (weekly, via Power BI)
o Daily AM report
•Support KPI tracking, including BOL entry timeliness and routing performance
•Extract, filter, and validate data from multiple systems to support reporting accuracy

Customs Documentation
•Prepare customs documentation for cross-border shipments (U.S. to Canada)
•Support completion of Canadian Customs Invoices (CCI) with required shipment and pricing details
•Maintain and update daily release files and supporting documentation
•Support Coordination with customs brokers (e.g., Livingston) to ensure compliance and timely processing
•Review shipment data to determine when customs documentation is required

BOL Verification & Data Accuracy
•Validate shipment data by reconciling BOL details with system entries
•Review key fields including BOL number, ship date, railcar number, volume, routing, product, freight payer, and origin/destination
•Identify discrepancies and collaborate with rail schedulers to resolve issues
•Ensure systems are updated once data is verified and accurate

Required Skills & Experience

•1 + year of experience in logistics, supply chain, transportation, or a similar administrative role preferred
•Strong attention to detail and commitment to data accuracy
•Proficiency in Microsoft Excel and working with shared data systems
•Experience with reporting tools (e.g., Power BI) is an asset
•Ability to manage high-volume, repetitive tasks in a fast-paced environment
•Strong organizational and time management skills
•Effective communication skills for cross-functional collaboration
