Job Description

The Events Coordinator plays a critical role in the planning, coordination, and execution of the company’s most visible and high‑quality events, including Stampede and other executive‑level experiences. Supporting high‑visibility events across the organization, this role works closely with the Senior Advisor, Executive Leadership Team members, Board Members, vendors, and internal partners to ensure seamless delivery and an elevated guest experience. This is not a traditional desk‑based role; the successful candidate will be highly people‑facing, service‑oriented, and comfortable operating in fast‑paced, high‑expectation environments. On a day‑to‑day basis, the Events Coordinator manages end‑to‑end event logistics from planning through on‑site execution, including vendor and venue coordination, catering, AV/IT, registration, gifting, hospitality services, and detailed timelines and logistics tracking. The role requires frequent interaction with senior leaders and VIP guests, strong organizational discipline to manage multiple events concurrently, and the ability to adapt quickly to changing priorities and extended hours during peak event periods. In accomplishing this work, the Events Coordinator delivers consistently premium‑quality events, acts as a trusted extension of the Senior Advisor by anticipating needs and managing complex logistics, and ensures every event meets a high standard of professionalism, hospitality, and executive presence. This is a 10‑month contract role, hybrid in Calgary, with a high possibility of extension or conversion to full‑time.

Required Skills & Experience

- 5+ years of hands‑on event coordination experience, with a proven track record supporting high‑quality events such as corporate executive events, Stampede‑level programming, weddings, career fairs, or premium hospitality experiences
- Strong operational and administrative capability, including experience managing registration, vendors, AV/IT coordination, logistics, timelines, and on‑site execution with a high degree of accuracy and follow‑through

Soft Skills:
- Executive presence and professionalism, with the ability to confidently engage with Executive Leadership Team members, Board Members, VIP guests, and external partners in high‑visibility environments
- Hospitality‑driven mindset, ideally from luxury events, hotel concierge, or service‑focused environments, with a strong focus on guest experience, quality, and attention to detail
- Candidate possess adaptability and resilience in fast‑paced settings, with the ability to manage multiple concurrent events, shifting priorities, and extended hours during peak event periods
