Job Description

The Portfolio Assistant / Administrative Assistant will support financial operations and portfolio coordination for a high-performing team. This role involves managing financial data, processing invoices, maintaining spreadsheets, and providing administrative support to senior leadership. The ideal candidate is detail-oriented, highly organized, and excels in communication, Excel, and multitasking in a fast-paced environment. The ideal candidate is a collaborative team player with strong time management and multitasking abilities. They are process-driven, eager to learn new systems, and demonstrate sound judgment and professionalism. Strong organizational skills, attention to detail, and the ability to adapt to shifting priorities are essential. Flexibility and willingness to work overtime when needed are also important. This role can pay up to 37 hourly, depending on experience level.

Required Skills & Experience

· 13 years of experience in a support or administrative role in a fast-paced environment.
· Strong proficiency in Microsoft Excel (pivot tables, formulas, data analysis).
· Excellent communication skills, both written and verbal.
· Working knowledge of Microsoft Office 365 (Word, PowerPoint, Outlook, Teams).
· Familiarity with financial processes and portfolio coordination.
· Experience with Accounts Payable functions including invoice coding, verification, and reconciliation.
Ability to maintain confidentiality and handle sensitive information with discretion.

Nice to Have Skills & Experience

· Previous experience with event planning.
· Familiarity with ServiceNow or similar platforms.
Exposure to financial services or automotive industry environments.
